Our client, in the Automotive industry, engaged our services to assist with the Guest Relations management of their annual Black-Tie Dinner and Party.
Attendees were a mixture of Senior Internal Staff and Premium Customers from all over the world, with Hippo’s responsibilities including the invitation, registration, day-to-day liaison, invoicing and travel management of each guest individually.
Working from our client offices twice a week, we worked closely to ensure each customer received a seamless experience both in the pre-event, on-site and post-event stages.
Liaising with the chosen luxury hotels, Hippo managed the accommodation elements, negotiating on release dates, organising upgrades or extras and creating rooming lists for those included in the Packages offered. Furthermore, we kept in daily contact with the external transport supplier to arrange individual transfers to/from the hotels, the event and pick up or drop off locations.
Hippo supported the event on-site, managing the Transfer Desk and reacting to any changes or impromptu bookings made on the evening.
Post-event, our role included the reconciliation of the accommodation, transport and package income, ensuring all details were accurate and correctly invoiced.
The event received fantastic reviews with the Guest Relations management receiving extremely positive feedback from all.
