A recent investigation carried out by The QEII Centre in London has brought to light a concerning revelation: the UK economy is facing an annual cost of £19.9 billion due to distractions in meetings and events. The Distracted Economy Report delves into the challenges associated with maintaining the attention and engagement of attendees in national MICE events.
This study explores the alarming trend of attendee distraction in both in-person and online MICE gatherings. According to the findings, a substantial 83% of participants admit to being distracted during in-person meetings, with this figure increasing to 85% in the context of online meetings.
The decline in attention spans has far-reaching implications, impacting not only business productivity and profitability but also giving rise to individual concerns. The survey, which involved 1,000 UK desk-based professionals attending both in-person and online meetings, reveals that over 38% of workers express apprehension about their ability to remain fully focused during MICE events.
Increasing attendee attention span at events requires a thoughtful approach that considers various factors influencing engagement.
One effective strategy is to incorporate interactive sessions, fostering engagement through Q&A sessions, polls, and discussions. Technology, such as audience response systems or event apps, can be leveraged to facilitate real-time interaction and participation, enhancing the overall attendee experience.
Diversifying the content is crucial in maintaining interest throughout the event. Mixing presentation formats, including keynote speakers, panel discussions, workshops, and hands-on activities, ensures that attendees with varying preferences and interests are engaged. Engaging speakers who not only possess knowledge but are also skilled in delivering captivating presentations can significantly contribute to the overall event experience. Encouraging speakers to incorporate storytelling and multimedia elements can make presentations more dynamic and memorable.
Providing regular breaks and networking opportunities is essential. Scheduled breaks allow attendees to recharge, while designated networking areas or activities facilitate meaningful connections. Introducing gamification elements, such as quizzes, challenges, or competitions, can add a fun and interactive dimension to the event, especially during the networking time, providing rewards or recognition for active participation.
The aforementioned study underscores that the majority of respondents (49%) favour in-person meetings over online alternatives whenever possible. Additionally, 52% believe that productivity is higher in in-person meetings compared to online ones. The research emphasises that distraction during online meetings is more costly to the UK economy (£11.1 billion) than in-person meetings (£8.8 billion).
Leveraging technology is another key aspect. Augmented reality (AR) or virtual reality (VR) can create immersive experiences, while event apps can offer real-time updates, networking features, and personalized schedules. Breaking longer sessions into shorter, more digestible segments helps prevent information overload. Utilising concise and visually appealing presentations contributes to maintaining attendee interest.
Surprise elements and unexpected features or guest appearances can add an element of excitement and intrigue to the event. Pre-event communication is crucial in building anticipation, with engaging emails highlighting key speakers, topics, and activities. Post-event engagement further extends the experience, involving attendees through follow-up emails, surveys, or online forums, and sharing event highlights or additional resources.
The study highlights that a third (38%) of participants express concerns about their ability to concentrate during business meetings and events, and 43% admit to frequently succumbing to distractions during their leisure time, so it is even more important that creating a comfortable environment is paramount.
Ensuring that the venue is well-lit, comfortable, and conducive to concentration, with appropriate seating arrangements, temperature, and acoustics, contributes to overall attendee satisfaction. Personalising the event experience through tailored schedules, content recommendations, or networking suggestions adds a personalised touch, enhancing the overall impact of the event on individual attendees.
