Brief
Our client approached us looking for a venue to hold their Annual Conference, which this year was due to be in London.
The brief was for a two-day event with 150 delegates expected attend, requiring one large Main Room in Classroom Style with a minimum ceiling height of 4m, multiple Breakouts, a location for a Networking Dinner and in close proximity for off-site Gala Dinner options. Accommodation for attendees was also required.

Solution
We conducted a city-wide venue search for suitable hotels, providing the client with 8 different options, which we presented to them over a video call. Site visits were arranged at the shortlisted hotels, in which we accompanied our client to give them that extra knowledge and expertise.
Negotiating across several areas we managed to reduce rates within the client’s budget, achieving a cost saving of over 15%.
Moreover, we also helped source an off-site gala dinner venue for the client, close to the hotel. We provided the client with multiple options, with Vintner’s Hall being their chosen venue.
We supported the client through the contracting stages providing our vital experience to ensure the contract was correct and covered the client against any unforeseen circumstances (for example, Covid). Once the contract was signed, Hippo then supported our client throughout the planning stages ensuring they knew they could reach out if they had any questions or issues or just simply needed professional advice.
