Brief

We have worked with this client for more than three years, so when it came to planning their most recent Annual Away Day, the Hippo team was brought in once again to manage the whole process.

The brief required a venue within one hour of London, offering:

50 rooms the night before for early arrival
250 rooms for the main conference night
A full-day conference with one plenary and two breakout rooms
A space for a drinks reception, gala dinner and DJ-led party
An outdoor area for team-building activities with a wet-weather back-up plan

The Away Day was not only about business updates and workshops but also about strengthening team connections, celebrating successes, and giving staff a chance to unwind together.

Venue Finding & Selection

We carried out a full venue search and presented nine options, each carefully matched to the brief. Our client was looking for a balance of quality meeting facilities, accommodation, dining and event space, so the De Vere Latimer Estate was the natural choice.

The estate’s countryside setting gave us the outdoor space we needed for team building, while its modern conference facilities and stylish dining rooms provided the right professional yet relaxed environment for the rest of the programme. We took all of this into mind when proposing the venue.

On top of this, we negotiated cost savings of over £10,000, representing a 13% reduction from the venue’s standard rates.

Conference Delivery

The event opened with a plenary session for all attendees, followed by breakout workshops in two additional rooms. AV and staging were managed seamlessly, ensuring presentations were slick and engaging throughout the day. Hippo introduced the client to our AV partners to give them a trusted and vetted company to work with as we like to go above and beyond.

Team Building & Evening Programme

One of the highlights was the outdoor team building session, designed to get everyone working together in a more informal setting. Thanks to careful planning, a wet-weather contingency was in place, though thankfully the sun held out.

As day turned to evening, guests moved into a beautifully set space for a drinks reception, gala dinner and disco. The combination of great food, music and atmosphere made for a memorable evening and the perfect way to round off the Away Day.

This Away Day was another success, with the client and their delegates praising both the venue and the delivery. The De Vere Latimer Estate proved an excellent choice, offering comfort and quality for everyone attending.
