Now in its fourth year, our clients International Conference has grown to become a key gathering for professionals in the healthcare and wellness industry. It’s an event that brings together top global brands, sales and marketing specialists, and thought leaders to discuss what’s next for health and wellness brands on the international stage.
Hippo Events was once again appointed as the Venue Finding partner, following our successful delivery of previous editions in London (x2) and Amsterdam. This year, the challenge was to bring the same high standards to a new host city… Frankfurt.
Our client needed a central venue in Frankfurt that could accommodate:
And of course, as with any returning client – the pressure was on to keep raising the bar.

Venue Finding & Contracting
We kicked things off with a comprehensive venue find across central Frankfurt. Within four working days, we presented a curated shortlist of five venues, each matching the brief but offering variety in:
- Style (from sleek modern spaces to classic German charm)
- Suitable Meeting Space that matches requirements
- Layout suitability
- Location convenience
- Within Budget
The client selected the Hilton Frankfurt for its excellent meeting facilities, on-site accommodation and ideal city centre location.
We negotiated over €15,000 in cost savings across the board, representing a 10% reduction in the total spend, without compromising on quality. We also supported the client through contract review, making sure all deliverables and negotiated extras were accurately reflected and protected in the final agreement.
Gala Dinner & Off-Site Support
For the final evening, we sourced and confirmed Restaurant Opera Frankfurt, a venue that combined elegance with impact. We worked alongside a local DMC to handle:
- Guest transport
- On-brand decorations
- Ambient entertainment to reflect the tone of the evening
Our team organised site visits for our client ahead of time to aid their decision process in selecting the right venue for them.
Client Communication
Throughout the planning stages, we made sure our client felt connected and supported, especially important when working across borders. For example, we set up a dedicated WhatsApp group for live updates during site visits. It became a handy tool for real-time feedback, photo sharing and quick decisions without endless emails.
